How to Cancel the Contract?
Cancelling a contract before the move-in date is a straightforward process. Follow the steps below to efficiently cancel a booking and notify the tenant.
Step 1: Access the Contract Detail Page:
1.1. Navigate to the Contract Detail Page:
- Start by accessing the Contract Detail Page for the specific tenant whose booking needs to be cancelled.
- On the Contract Detail Page, scroll down until you find the Box Information section which displays details about the tenant’s storage unit, including the unit number, size, and other pertinent information.
- Within the Box Information section, look for a three-line icon, commonly known as a hamburger menu.
- Click on the "Cancel Booking" button to initiate the cancellation process.
Step 2: Provide Cancellation Details and Confirm:
A pop-up screen will appear, prompting you to enter the reason for the cancellation.
After entering the reason, click the "Save" button to confirm and system will automatically cancel the invoice by generating the credit note.
The contract will be officially cancelled in the system.
Step 6: Tenant Notification:
6.1. Automated Email Notification:
- Once the contract is cancelled, an automated email will be sent to the tenant.
- The email will notify the tenant that their booking has been cancelled and will include any relevant details about the cancellation.
Important Notes:
- Timing: The "Cancel Booking" functionality is only available before the move-in date. Once the move-in date has passed, this option is no longer accessible.
- User Role-Based Access: The ability to cancel a booking is controlled by user roles. Ensure that your role has the necessary permissions to use this feature.
- Duration Settings: The functionality can be configured to be available for a certain duration before the move-in date. This setting may vary based on your organization's policies.
By following these steps, you can efficiently cancel a contract and ensure that the tenant is properly informed of the cancellation.
