Step 1: Initiating the Move-Out Confirmation:
1.1. Locate the "Confirm Move Out" Option:
- Go to the Contract Detail Page.
- At the top of the page, find and click on the "Confirm Move Out" option. This will start the process of confirming the tenant's move-out.
Step 2: Confirm Move Out and Account Settlement:
2.1. Unit Popup:
- After selecting "Confirm Move Out," a pop-up window will appear.
- The window will prompt you to confirm the move-out date.
2.2. Confirm Move Out Options:
- You will have two options to proceed with the move-out confirmation:
Option 1: Confirm Move Out:
- This option allows you to confirm the move-out date if the account settlement invoice has already been generated.
Option 2: Confirm Move Out and Settle Accounts:
- This option allows you to confirm the move-out date and simultaneously generate a prorated invoice or credit note for account settlement. A toggle button is available to enable this feature.
2.3. Billing and Payment Dates:
- If you select Option 2, you can set a billing date, and the system will automatically generate the necessary invoices or credit notes.
- The system will handle any outstanding balances, moving them to the payment queue or allowing you to initiate a manual refund if needed.
Step 3: Sending Notification:
3.1. Confirmation Email:
Once the move-out is confirmed, the tenant will receive an email confirming the closure of their lease.
3.2. Payment Link:
If there are any outstanding dues, the email will also include a payment link for the tenant to complete the payment.
By following these steps, you can efficiently confirm a tenant's move-out, ensuring that all aspects of the process, including account settlements, are completed smoothly.
