Contact Book Listing - Overview

The Contact Book Listing provides a comprehensive view of all the contacts within the app. The listing page displays key information for quick reference, including contact ID, customer name, phone number, and email address. Additionally, you have access to various insights and options: 

  1. Customer Address: The map icon navigates the user to Google map page and will locate the tenant address. 
  2. Contract Overview: Quickly view the total number of contracts a customer has had with your business, as well as the number of active contracts. 
  3. Invoice Overview: Monitor invoicing by checking the total number of invoices generated versus paid invoices. 
  4. Payment Mandates: See a list of payment mandates provided by the customer over a specified contract period for processing recurring payments. 
  5. Outstanding Balances: Easily identify the total outstanding debit balance (highlighted in red) and credit balance (highlighted in green) for each customer.


Inquiry 

Use the "Inquiry" feature to gather inquiry details from potential customers. You can specify the inquiry source, type, user type, and include a brief message or description.



Instant Activity 

The "Instant Activity" feature is your go-to tool for swift and efficient operation designed to enhance your user experience by facilitating swift actions without the need for navigating through multiple screens. Whether you need to save an activity, send a quote, or perform a move-in, this feature empowers you to accomplish these tasks seamlessly. 

How to Use the Instant Activity Feature: 

1. Save Activity: 
  1. Simply activate the "Instant Activity" feature.
  2. Choose the relevant information and save the activity directly from the current screen.
2. Send Quote: 
  1. Click on the "Instant Activity" button.
  2. Specify the storage type, property, preferred size for rental, and any desired add-on services.
  3. Save the activity to send quote via email with the quotation as a PDF attachment.
  4. Simultaneously, an activity will be created to track the sales process for that specific customer.

3. Perform Move In: 

  1. Turn on the "Instant Activity" feature.
  2. Create a contact and initiate the tenant move-in process directly from the same screen. 
  3. Enjoy the efficiency of completing multiple tasks without navigating away. 




Activity:

The Activity feature acts as a Sales Pipeline Management tool, aiding in tracking various stages of customer interaction: 
  1. Quote Sent: Keep track of quotes sent to customers. 
  2. Follow-up: Add notes regarding customer follow-up conversations. 
  3. Property Visit: Schedule appointments for property visits. 
  4. Transport: Schedule transport time slots. 
  5. Space Reservation: Reserve storage space. 
  6. Customer Move-in: Manage the process of customers moving into their rented space.



Transactions:

This feature allows users to create custom invoices and credit notes, providing flexibility in managing financial transactions within the application.





Advanced Filter and Search Options:  
The Contact Book Listing also offers advanced filter options, enhancing your ability to organize and locate specific contacts. You can filter contacts based on: 
  1. Contact Stage: Filter contacts according to their stage in the customer journey, helping you focus on leads, active customers, or other defined stages. 
  2. Contact Source: Sort contacts by their source, providing insights into how customers discovered your business. 
  3. User Creator: Filter contacts by the user who created them within the app, aiding in tracking team members' contributions. 
These advanced filtering and search options empower you to efficiently navigate your contact database and tailor your interactions to specific criteria. Whether you're targeting a particular stage of the sales process, analysing customer sources, or attributing contacts to specific team members, the Contact Book Listing's advanced filters provide a powerful way to manage your customer relationships effectively.
