How to Change a Unit from an Active Contract?

The "Change Unit" functionality allows the user to change the unit of an active contract in case the tenant changes their mind after completing the move-in process. Generally, this feature is enabled until the move-in date. However, there is a settings option that allows the user to extend this feature for a certain period, which can be adjusted for specific user roles.

Changing a unit for an active contract involves selecting a new unit, handling existing add-ons, and adjusting transactions. Follow these steps to make the change:

Navigate to the Contract Detail Page:
  1. Access the Contract: Go to the specific contract detail page that you wish to modify.
Initiate Unit Change:
  1. Click on "Change Unit": On the contract detail page, locate and click the "Change Unit" button.


Select New Unit:
  1. Choose Facility and Level: A side drawer will open, allowing you to select the desired Facility (Building) and Level (Floors).
  2. Select Preferred Unit: The system will display a list of available units. Choose the unit you prefer.


Configure Add-ons and Transactions:
  1. Enable/Disable Add-ons: A pop-up window will appear, giving you the option to enable or disable existing add-ons for the new unit.
  2. Adjust Existing Transactions: Decide whether to adjust and continue the existing transactions to the new unit or not.


Confirm Unit Change:
  1. Click on "Confirm": After making your selections, click "Confirm."
  2. Reversal of Old Unit Invoice: The move-in invoice for the old unit will be reversed automatically.
  3. Invoice Creation for New Unit: You will be redirected to the invoice creation page for the new unit.
Validate New Invoice:
  1. Additional Payment Duration: Optionally add an "Additional Payment Duration" if needed.
  2. Select Pro-Rata Options: Choose the appropriate pro-rata options from the dropdown.
  3. Generate the Invoice: Click on "Generate Invoice" to finalize the transaction.


Contract Update:
  1. Send Updated Contract: An email with the new contract will be sent to the tenant, prompting them to sign the updated contract. If there is any outstanding payment after adjusting the transaction, a payment link will also be included.


By following these steps, you can efficiently change a unit for an active contract, ensuring all necessary adjustments and notifications are handled properly.
