How to Refund Security Deposit?
When a tenant moves out, the security deposit can be refunded by following these steps:
- Navigate to the Contract Detail Page: Start by navigating to the specific contract detail page of the tenant whose security deposit you wish to refund.
- Locate the Transaction Section: Scroll down to find the Transaction section on the contract detail page.
- Access the Security Deposit Sub-Menu: Within the Transaction section, locate the Security Deposit sub-menu. This section lists all the security deposits associated with the contract. Look for the three-line icon towards the right side of the line item.
Refund the Security Deposit:
- With Invoice: If an invoice was created for the security deposit, select the security deposit entry. A credit note will automatically be generated to refund the deposit amount.
- Without Invoice: If no invoice was generated for the security deposit, simply select the deposit entry, and it will be marked as refunded in the system.
Note: Users have the option to process partial refunds, enabling the return of only a portion of the security deposit if necessary.
Process the Refund:
Online Refund via Payment Gateway (Card/SEPA):
After the credit note is generated, navigate to the specific credit note detail page.
Click on the "Pay via Charges" button to initiate an online refund via the original payment method (e.g., Card or SEPA) through the payment gateway.
Upon successful refund initiation, a Payment Voucher will be generated automatically.
Offline Refund:
- If the refund is being made offline, click on the "Add Payment Voucher" button.
- In the pop-up window, select the payment mode and enter the date the refund was made to complete the process.
- Payment Voucher will be generated.
Confirmation:
Ensure that the security deposit status reflects the refund. If a credit note was generated, it should be linked to the corresponding refund transaction.
By following these steps, you can efficiently refund the security deposit to the tenant upon move-out, ensuring that the contract is settled correctly.
