How to Transfer a Unit?

The Transfer Unit feature allows you to move a tenant from one storage unit to another after move-in. This is typically used when a tenant upgrades, downsizes, or relocates within the property.

The system ensures all financial adjustments, invoices, and contract updates are handled automatically during the transfer process.

Prerequisites

Before initiating a transfer:

  • Contract must be Active
  • Review outstanding invoices
  • Confirm transfer details with the tenant

Steps to Perform a Transfer Unit

Step 1: Navigate to Contract

  • Go to the Contract Detail Page
  • Click on Actions (top-right corner)
  • Select Transfer Unit

  • Step 2: Select Existing Unit(s)

  • A pop-up window will appear
  • Select the current unit(s) to transfer
    (Supports multiple selections for multi-unit contracts)
  • Click Confirm

    When performing a unit transfer, the system presents a side-by-side layout for a clear overview of the transition — making it easier to review both the old and new unit details before confirming.

    Left Panel – Existing Box Information

    This section displays key information about the tenant’s current unit, including:

    • Box Number

    • Property & Level

    • Rental Price

    • Add-on Subscriptions

    • Security Deposit

    • Last Invoiced Date

    Outstanding Balance

  • Shows unpaid invoice balance
  • Prompt to clear dues before transfer
  • Option to:
  • Adjust balance within transfer transaction
  • Available Security Deposit

    • Displays refundable/adjustable deposit
    • Option to:
      • Adjust toward outstanding invoices
      • Refund remaining balance

    Right Panel – New Box Information & Transfer Actions

    This panel allows you to configure the new unit to which the tenant is being transferred:

    Transfer Date

    • Select the effective Transfer date of the Box

    Button available: + Add Space – allows adding or selecting another unit

    New Box Information

    • Displays the unit details, including size, rent, and optional add-ons

    • Editable fields:

      • Security Deposit

      • Insurance

      • Additional Charges
























    Estimation Section

    Provides a financial preview:

    • First Invoice
      → Prorated rent from transfer date to billing cycle end
    • Recurring Invoice
      → Ongoing rent for future cycles
    • Tooltips available for detailed breakdown

    Final Adjustment Summary

    Displays complete financial reconciliation:

    • Outstanding Balance (existing unit)
    • Security Deposit Refundable
    • Prorated Rent Refundable (old unit)
    • Prorated Rent Payable (new unit)

    Final Payable Amount

    • 🔴 Red → Amount payable by tenant
    • 🟢 Green → Credit balance

    Optional

    • Enable Send Transfer Unit Confirmation Email to Customer



    Confirm the Transfer

    After thoroughly reviewing all box and financial details, proceed with the transfer by clicking Transfer Box. A confirmation popup will appear that includes the following actions:

    • 🔗 Document Signing LinkMandatory step for completing the transfer

    • 🧾 Generate First Invoice – Option to generate the prorated invoice for the new unit

    • 💳 Payment Link Toggle – Enable or disable the inclusion of a payment link for any outstanding balance

    Click Confirm to finalize and execute the unit transfer.

    What Happens Next

    Once the transfer is complete, the system will:

    • Generate or reverse invoices and credit notes based on the adjustment

    • Issue a new invoice with a payment link (if applicable and enabled)

    • Send a Transfer Unit confirmation email to the tenant including:

      • Contract signing link

      • Invoice and credit note attachments

      • Payment link (if enabled)
